Attention || Caledonia Bears Baseball is in Need of Volunteers to Join the Board

Hello Everyone,  

I am sending this email on behalf of Ryan Van Sickle (Cal Bears President) and the entire Cal Bears Executive.  

This summer represents the 7th year of Cal Bears Baseball and the 2nd year of a Cal Cubs program.  Ryan Van Sickle started up the Cal Bears after a 15 year hiatus for Baseball in Caledonia.  Our organization has grown from 1 team in 2016 to 9 Bears teams and 2 Cubs groups, offering baseball to almost 150 players. 

As a parent of a former Bears player and having been involved as a coach and a board member, we would have never thought that Bears Baseball would have grown to where it is now. It is truly great to see.

While, the growth of our organization in terms of players has been remarkable, we are not keeping up with helping hands on our board.  At the end of last season, we lost 2 key board members.  This has resulted in the running our baseball organization by far too few people – we are down to 3 main board members that had to carry the load, to get the 2022 season off the ground.  Truth be told, we have barely been able to pull it all off and in some ways, we are still struggling.

Since the end of the 2021 season, we have been asking for volunteers to join our board and we have had no new volunteers join us.  This situation with so few on the board is untenable.  We simply cannot operate Baseball any longer without more volunteers to run our organization. 

In order for the 2023 season to move forward, we must take critical steps – these are detailed below.

If we cannot achieve these steps on time, our association will be suspended at the end of this season.

This is not meant as a scare tactic or threat in anyway.  We simply cannot do this without more help.  At the end of this season, our President’s (Ryan) and Registrar’s (myself) terms are up.  The result is that we do not have enough people in place on the board to run the Bears organization.  Thus, the decision to suspend the Bears organization is not a choice but a necessity, as there are not enough people left to do the work required to run our organization.  Even with Ryan and I currently in the board, it is not enough help to run the Bears.

Our intent is to have a new board in place this summer.  This will allow us to transition the new board into their roles slowly over the summer, fall and winter before the 2023 season.  This scenario will give our new board time to learn what is needed to make Bears Baseball successful.  Ryan Van Sickle has agreed to stay on as Past President to help support a new board as our organization moves forward.  I will help transition the roles of Registrar, Scheduler and Webmaster.  We are not looking to drop this on people’s laps and run away.  We want to be here to support the next group of people to take over.  In fact, we have already started to prepare for this transition in the back ground.

We are asking for people’s help to step up and give our players a chance to play Baseball in Caledonia for years to come.  Not all of these positions require a high level of baseball knowledge.  In many cases, the roles of Registrar, Schedule, Treasurer, Webmaster, require people who are organized and have computer literacy and do not need much baseball knowledge.

We want to help sustain and grow our organization for the next generation of players.  Ryan started this, with the help of many over the past 7 years.  Now, we need your help to step up and make sure Bears Baseball continues, while we help you learn what it takes to make our organization run.

Board Positions Required to be Filled by July 8 2022:

  • President***
  • Vice President***
  • Treasurer***
  • Registrar***
  • Scheduler***
  • Umpire Scheduler***
  • Tournament Director***
  • Webmaster
  • Past President – Ryan Van Sickle

***These roles must be filled by July 8 for the 2023 season to start.  All existing board positions will be vacated at the end of the 2022 season, in order for a new board to take over.  All current board members with term remaining on their positions, can volunteer to continue their current role or take on a new role.

Key Dates for a New Caledonia Baseball Board & Preparation for the 2023 Season.

In order to ensure that the 2023 season moves ahead without delays, we must have each of these tasks completed by the dates indicated here:

  • By July 8 2022 - New Board Members in Place
  •  By July 15 2022 - Open Rep Coaching Applications for the 2023 Season
  • By July 31 2022 – Close Rep Coaching Applications
  • By August 8 2022 - Meeting with new Board
  • By August 12 2022 - Rep Coaches Announced
  • By September 7 to 11 - 2023 Rep Tryouts
    • We want to try to get ahead of hockey tryouts as much as possible and complete tryouts at this time.
    • It is important to note that there are a lot of logistical and planning reasons that we need Rep teams selected in the fall. 
    • This season has cemented why spring tryouts make it too difficult to get our Rep teams started on time.
